This Privacy Policy describes how BookviaAI (“we”, “us”) collects, uses, and shares information when you visit bookviaai.com, message our WhatsApp Business number, or use our court-booking automation service.

BookviaAI operates a WhatsApp-powered booking service that connects players with sports facilities (padel, soccer, basketball, volleyball, and similar venues). Contact:

Depending on how you use the service, we may collect:

  • WhatsApp identifiers — your WhatsApp phone number and display name as provided by Meta’s WhatsApp Cloud API.
  • Messages and Flow responses — the content of messages you send us, including court, date, time-slot, and confirmation choices submitted through WhatsApp Flows.
  • Booking details — venue, court, date, time, price, and confirmation codes needed to create or cancel a reservation in our booking system (BookNPlay).
  • Technical logs — webhook timestamps, message IDs, delivery status, and diagnostic logs required to operate and secure the service.
  • Website usage — standard server logs (IP address, browser type, pages requested) when you visit this website.

We do not ask for government ID, payment card numbers, or location tracking beyond the venue you choose to book.

3. How we use information

  • To receive and reply to WhatsApp messages, including sending booking Flows and confirmations.
  • To look up court availability and create or cancel bookings in our booking backend.
  • To send operational messages such as confirmations and reminders inside WhatsApp.
  • To maintain security, prevent abuse, debug errors, and comply with Meta WhatsApp Business Platform policies.
  • To improve the booking experience.

We do not sell personal information. We do not use WhatsApp message content for advertising.

4. Sharing with service providers

We share information only as needed to run the service:

  • Meta Platforms, Inc. — WhatsApp Business Platform / Cloud API delivers messages and Flows between you and us.
  • Booking backend (BookNPlay) — court inventory and reservations.
  • Hosting providers — website and API hosting (currently SmarterASP.NET / associated SQL hosting).

These providers process data under their own terms and only to provide their services to us.

5. Meta WhatsApp and Facebook

If you message our WhatsApp Business account, Meta processes that communication under Meta’s WhatsApp Business and privacy terms. We receive inbound events through Meta webhooks and send outbound messages through Meta’s Cloud API. We do not receive your Facebook or Instagram profile unless you independently provide it.

6. Retention

We keep message and booking records for as long as needed to fulfil bookings, handle disputes, meet legal obligations, and operate the service (typically up to 24 months unless a longer period is required by law). You may request deletion as described below.

7. Your rights

You may request access, correction, or deletion of personal data we hold about you by emailing privacy@bookviaai.com or messaging our WhatsApp number from the same phone number used to book. See also our User Data Deletion instructions.

8. Children

The service is intended for adults (18+) who book sports facilities. We do not knowingly collect data from children.

9. Security

We use HTTPS, access controls, and encrypted WhatsApp Flow data exchange as required by Meta. No method of transmission is 100% secure.

10. Changes

We may update this policy. The “Last updated” date at the top will change. Continued use of the service after an update means you accept the revised policy.
